Job Summary

The main thing here is controlling all the movement of stuff in and out of the stores that the Purchasing department handles. You’ll help the Purchasing Supervisor with coordinating deliveries, you know, and processing those purchase orders in the Purchasing System. Basically, you’re on the hook for receiving incoming shipments accurately, inspecting them, and recording everything correctly. Then there’s coordinating the distribution of goods to the right departments. This job needs good communication across departments, with vendors too, and you have to handle a fast-paced setup without missing a beat.

Essential Duties and Responsibilities

  • Look at inventory trends and how things get used, so you can optimize stock levels. That way, you minimize those carrying costs.
  • Make sure all invoices and delivery orders for goods that come in get properly stamped. Record them in the Daily Receiving Summary, no shortcuts.
  • Handle rejected goods, containers, empty bottles, and cases leaving the hotel. Document them all properly, account for everything.
  • Keep copies of all orders and receiving docs on file. Show scheduled delivery dates and the GRN number, just to stay organized.
  • Organize the storage system to be efficient and systematic. Easy retrieval, stock rotation using FIFO method. That’s key.
  • Do periodic stock audits. Reconcile what’s physically there with the system records.
  • Receive incoming goods and supplies. Inspect them, record accurately. Verify quality and quantity against purchase orders or delivery notes.
  • If goods arrive without enough documentation, note it in Birch Street or Check SCM. Treat it like a delivery note, I mean.
  • Issue general and beverage goods to the relevant departments. Input all requisitions into Birch Street or Check SCM.
  • Prepare Credit Memo records for any returned items.
  • Sign and stamp delivery documents after receiving the goods. Confirm the actual receipt matches the electronic Purchase Order.
  • Conduct regular quality checks. Ensure products meet the established standards.
  • Spot damaged or defective items. Report them, coordinate with teams for replacements or returns.
  • Assist the Purchasing Supervisor and team with coordinating deliveries. Book delivery notes or invoices in Birch Street or Check SCM when they’re needed.
  • Keep storage areas arranged and maintained. Safe, clean, secure conditions all the time.
  • Make sure items in the loading bay stay secure. Follow health and safety regulations on that.
  • Enter Purchase Orders into Birch Street or Check SCM. They’ll get picked up and approved by the Purchasing Manager or Director of Purchasing.
  • Keep stock at the agreed par levels.
  • Re-order daily to the Purchasing Supervisor or Manager. Any item below par level, flag it.
  • Undertake monthly stock takes of inventory storerooms. Other areas, too, as directed.
  • Do cross-training in other account areas. Helps with career development, covers emergencies, sickness, and vacations.
  • Attend all training courses required. Whenever they come up.

  • Report defects in the building, plant, and equipment. Follow hotel procedure.
  • Ensure accidents to associates, guests, and visitors are reported immediately. Per correct procedures.
  • Attend Statutory Fire, Health & Safety training. Be fully conversant with rules on Fire, Health & Safety. Abide by them.
